Locate the right format
Princeton’s Desan da Raja record identifies a 1999 Punjabi action film, yet lists English, Punjabi and Urdu in the object’s language metadata. Keep these fields separate when identifying the advertised film.[1]
Indiana University’s South Asian Cinema Ephemera finding aid, SSEA001, shows why a promising title also needs a format check. Its soundtracks series lists Selection from Punjabi Films, Volume II, in box 9. That is not a poster entry. The guide explains that soundtrack LPs are preserved primarily for cover art and graphic design. Posters, promotional booklets, production stills and lobby cards occupy other series. Booklets are arranged by Library of Congress romanized titles, which can differ from familiar English spellings. Retain the collection number, series and container alongside the title when preparing an enquiry. A language appearing in a collection-wide description does not guarantee that every format contains material in that language.[2]
Check language and attribution
A Punjabi story can circulate through a film in another language. The Museum of Art and Photography’s Heer Ranjha poster record explicitly identifies the advertised 1970 film as Hindi. Its creator field says Possibly Amar Arts, retaining uncertainty rather than confirming a named designer. The object is described as an offset-lithographic reproduction, measuring 93.4 by 68.6 centimetres. These fields distinguish the publicity object from a generic image of the lovers. The date is labelled Release Date; it should not silently become an independently established printing date for that particular sheet. Preserve the catalogue’s qualification and the meaning of its date field in a research note.[3]
Record the access layer
NFDC-NFAI’s Research and Documentation Section describes posters alongside photographs, song booklets, lobby cards and press clippings. Its page, marked modified in February 2024, explains that digitisation reduces handling of originals and that supplied copies follow administrative formalities. This gives a practical distinction between a collection, a digital surrogate and a copy obtained for research. Cite which layer was actually consulted. Before planning a comparison, ask for the particular title, format, version and available documentation. The institutional overview establishes a research route; it does not supply an item-level Punjabi poster inventory or authenticate an uncatalogued sheet.[4]
