Describe the record with its gaps
Consent discussions begin with a clear description of what is being offered. Saalem Humayun’s account of an inherited postcard supplies a useful Punjab-linked example. He identifies his Lahore-born grandfather A. D. Bashir as its previous keeper and describes receiving it as a child in Canada. The card itself is blank, while other letters and official documents appear within the wider family account. Humayun remains unsure where or when his grandfather obtained the card. That uncertainty is worth preserving alongside the inheritance story. The account establishes what its contributor remembers and chooses to share; it does not supply permission for every relative’s letter in a larger archive. A proposed deposit can list the particular records, their custodial history and unresolved questions before deciding what will be made accessible.[1]
Discuss custody, rights and privacy
Society of American Archivists guidance in a U.S. context distinguishes ownership of a physical letter from copyright. It recommends discussing rights and confidential items with the receiving repository before completing a gift. For a refugee letter, separate custody, proposed uses and privacy concerns in the discussion. Record unresolved questions rather than treating possession as an answer. The resulting agreement needs its own jurisdiction and repository context; this guide does not decide who owns a particular letter.[2]
Agree on the kind of access
The Wyner Family Jewish Heritage Center provides a concrete comparison: its policy permits discussion of records remaining available to researchers while being excluded from online digitisation. Time-limited restrictions are another option. Its collecting area is Boston and New England Jewish history. This is a comparative policy, not a recommended destination. Ask the intended Punjab archive which distinctions it supports, then document the agreed scope and duration. A preservation arrangement should not silently become permission to publish every page.[3]
