A blank field needs context

A digital archive can preserve uncertainty rather than forcing every field to contain a plausible answer. The American Philosophical Society’s metadata guidelines tell cataloguers to leave a field blank when they have no data. For an unknown creator, its People guidance directs them to explain the missing responsibility in a note instead of entering an invented person. This separates the structured name used for discovery from the explanation a reader needs. These are that institution’s rules, not a claim that every archive uses an identical database.[1]

Its date instructions make a related distinction. An unknown numerical creation date is left blank while a text field can describe the item as undated. A separate field records digitisation. An image’s arrival online therefore need not manufacture an earlier creation date. Keeping the explanation beside the field allows a researcher to understand the gap without pretending it has been solved.[1]

Preserve the precision you have

The Library of Congress’s Extended Date/Time Format distinguishes a year-only date from a fully specified calendar date. It also provides different representations for approximate dates, unspecified digits and an unknown interval endpoint. The practical principle is to retain the precision supported by evidence. If only a year is known, a system should not silently turn it into a known first day of January. This is an editorial application of those documented distinctions, not a new date assigned to an archive item.[2]

Gaps in records

Powerhouse’s Punjab phulkari H6145 demonstrates that useful information can coexist with missing information. The object statement explicitly leaves its maker and production date unknown, while the physical description records the cloth and coloured embroidery. A catalogue can consequently help identify a particular textile without supplying its maker’s biography. Keep the object number and unknown labels when following this textile through later catalogues.[3]
